Candidate records
What a candidate's page shows: contact status, how to message them, where they work, their career and CV, activity, and documents.
Everyone in Tenure's database has a page. Open it from View candidate details on a search result, from a run, from Contacts, or from a notification.
Contact status
The status at the top matches the one in Contacts: contacted, replied, interested, declined, or opted out. It comes from the same ledger, so the two never disagree.
Messaging the candidate
The page opens on Details: the profile, the CV, and documents. Message candidate, at the top of the page, at the foot of the details, or as the second tab, switches to the message form. Sending a message takes you to the Activity tab, where it appears. Choose a role to send with it, write a subject and a message, and check What they will receive beside the form, which shows the email as the candidate will see it.
Under the message, the form says what sending uses: one reach-out credit, and how many you have left. When a message cannot be sent, the form is replaced by the reason: your team wrote to the person in the last 7 days, or they asked not to be contacted.
Career and CV
The Profile card shows the person's profession, specialty, location, years in practice and, when it is known, where they work. Then come their known licenses, one badge per state, and a few highlights from their career. Their CV follows under Curriculum vitae; the positions and training are in it.
Known licenses are the licences the person is recorded as holding, one badge for each state and kind of licence, the state named above the kind: a nurse practitioner who also keeps a nursing licence shows both, Florida APRN and Florida RN. Each badge gives the months the licence was issued and runs to, when they are known, like 01/2021 - 07/2028. It does not say whether the licence is active today. The dates are the ones on record when the licence was added, and licences are renewed, so a date in the past does not mean the licence has lapsed. Confirm a licence is current with the state board before you rely on it.
Works at comes from the practice location on the person's state licence, matched to the hospital, nursing home or home health agency at that address. Until the person replies interested, it names only the kind of place, such as "A hospital". After that it names the employer and its town. People update this address when they renew their licence, so it can be a year or two old.
The CV is laid out for reading as a document: the person's name at the top, each section's heading to the left of its entries, the dates beside each position, and bullet points. On a CV with several sections, links beside the heading take you straight to each one. The links name the CV's own section headings, such as Education or Research experience. The words are the candidate's own: Tenure arranges them and changes none. A CV that could not be arranged without changing it is shown as plain text instead.
The CV shown here has contact details and references removed, whether or not the person is in your pool. A CV that was added recently may read "This CV is being processed and validated. It will appear shortly."
Activity
The Activity tab, beside Message candidate, shows how many events it holds, and a muted 0 when nobody at your company has reached the person. It lists every touch, in order: which run reached them, when, what was sent, and what they replied. Previous runs are included, so you see the whole history before you write to them again.
Documents
Documents the candidate shared, such as a CV or licenses, open in the page for reading. Each has a download button, and Download all packages every document into one archive.
You can add documents to the record too: drop several files at once, watch each upload, and retry one that fails.
Contact details
Once someone replies interested, their email and phone are unlocked for the account from then on. They appear at the top of the Details tab, under How to reach them.
When a candidate can't be found
A link to someone who is no longer in the database opens a page that says so. It offers the places they may still turn up: Search Tenure’s database, where you can look them up by name, and Contacts, which lists everyone messaged on your behalf. It also links back to this guide.
Prefer plain text? This page is also at /documentation/candidates/candidate-records.md.
